Terms and Conditions
Alpine Adventure Walks (subsequently referred to as AAW) Terms and Conditions. Please read these conditions carefully.
These conditions are a contract between AAW and all listed on the booking form. A contract will only exist when we have received a completed and signed booking form, your deposit and proof of insurance and we have sent to you confirmation of your booking.
Responsibility: AAW reserves the right to cancel or modify any tour or scheduled activity depending on the weather or any other conditions beyond its control. The participant agrees not to hold AAW or any of its operators responsible for any personal injury, or damage to or loss of personal property. It is compulsory that the participant takes out adequate travel and medical insurance submitting a copy of the relevant documentation with the booking form or at latest upon final payment of the holiday.
Costs. Prices are per person and are based on two people sharing a double or twin room for the specified number of nights with half board accommodation in a three or four star hotel with en suite facilities and return airport transfer as detailed in Travel Information. Also included are: all lunches except where specified, any museum entrances except on free day, transport during the excursions and the accompanied walks. Not included in the prices are; all drinks consumed at lunch, dinner or at any other time, lunch and any travel costs incurred on free day and any other travel costs, i.e. flights, ferry crossings etc. All drinks consumed in the hotels and any other extras eg. phone calls etc. must be paid for by each individual client the day before departure. All drinks consumed at lunchtime must be paid for at that time.
Booking and payment. To make your booking you must fully complete our booking form. This must be signed by one person who will be responsible for all payments to be made on behalf of all those named on the booking form and confirms acceptance of these conditions. Please forward your booking form together with £150/€220 deposit per person. Please note that the full balance, as indicated in our confirmation of the booking, is due 8 weeks prior to the start of your holiday. If you book within 8 weeks of the start of your holiday the full amount is due when booking. Failure to pay by the due date could be considered as a cancellation on your part and we reserve the right to impose cancellation charges as detailed below.
Cancellation charges. Notice of cancellation of your holiday by you or any member of your party once it has been confirmed must be in writing to us. If any person cancels and you cannot fill that person’s place, you may have to pay extra for your accommodation; for example, you may have to pay the single room supplement. If you do cancel, you must still pay any amendment charges that arose before the cancellation. Charges for cancellation of your holiday calculated from the date we receive written notice are as follows: over 8 weeks prior to departure, loss of deposit; 6-8 weeks, 40% of total holiday cost; 4-6 weeks 60% of total holiday cost; 2-4 weeks 80% of total holiday cost; less than 2 weeks 100% of total holiday cost. If we cancel your holiday you will receive a full refund of all money paid to us.
Alterations by you to your booking. If you wish to make changes to your booking in any way after confirmation has been issued you should advise us in writing as soon as possible. We will endeavour to meet your requirements but cannot guarantee to accommodate every request which may be subject to the payment of increased costs relevant to the change, together with any communication costs incurred. Any changes we do accept will only apply if we have issued to you a new confirmation of booking. If changes are not possible and you cancel your booking, cancellation charges will apply. The accommodation booked is only available for use by those persons included on the booking form unless otherwise agreed by us in writing.
Alterations and/or cancellations by AAW. We reserve the right to make alterations to our web site and holiday details before and after bookings have been confirmed. For reasons beyond our control it may be necessary for us to cancel a confirmed holiday for which we must reserve the right to do so. If we do so you will receive a full refund of all monies paid. We can accept no legal liability and will pay no compensation.
Age restrictions. Bookings can only be accepted for persons under 18 years of age when accompanied by an adult who will be responsible for them. Unless specifically requested we do not accept children under the age of 14 due to the activity involved in this type of holiday.
Force Majeure. We regret we cannot accept liability or pay any compensation where the performance or prompt performance of our contractual obligations is prevented or affected by ‘Force Majeure’. In these booking conditions Force Majeure means any event which we or the supplier of the service(s) in question could not, even with due care, foresee or avoid . Such events may include war or threat of war, riots, civil strife, terrorist activity, industrial dispute, natural or nuclear disaster, adverse weather conditions, fire and all similar events outside our control.
Insurance. Mountain activities carry an element of danger and all clients must be covered by an appropriate insurance policy. Please make sure the insurance includes full cover for all activities that you may participate in. It is an essential condition of booking your holiday that you take out adequate holiday insurance. We will ask you to let us have evidence of the insurance at the time of booking. We reserve the right to terminate your booking if you fail to obtain travel insurance. However, it is the responsibility of you and all members of your party to ensure the insurance cover purchased is suitable and adequate for your particular requirements. We cannot be responsible for your costs if you fail to do so.
Individual Ability. It is the clients’ responsibility to judge their own individual abilities. All clients walk/hike at their own risk. Alpine Adventure Walks cannot be held responsible for ANY accidents or injury however caused. It is understood that the client has undertaken a holiday fully aware of the necessary skills and physical fitness needed to undertake that venture and that they are solely responsible for any loss, accident or injury incurred during that activity and are fully and adequately insured for rescue and medical costs should the situation arise. In no way or form will AAW be held responsible for any eventuality.
Transfers. Transport between the agreed arrival airport and the same departure airport are included in the holiday cost.
AAW take no responsibility for persons or possessions in transit. If we are unable to meet you at the airport for any reason whatsoever, every effort will be made to provide alternative transport to your holiday destination. We take no responsibility in any charges or costs incurred by this eventuality. We take no responsibility for any accident, theft or damage to persons or their property whilst in transit with us during the course of the holiday duration. We understand that you have taken out adequate travel insurance to cover any eventuality in full.
Weather Conditions. We cannot be held responsible for any loss, delay, cost or the lack of enjoyment of your holiday due to weather conditions. No refunds can be made if weather conditions are unfavourable.
Property. You will be liable for any damage or loss caused by you or any member of your party to any property belonging to us or a third party (including theft or damage). Full payment for any such damage or loss must be made at the time to us or the third party concerned. If you fail to do so, you must indemnify us against any claims (including legal costs) subsequently made against us as a result of your actions. We cannot be held responsible for any loss, damage or theft of your personal belongings.
Client Liability. When you book a holiday with us, you accept responsibility for any damage or loss caused by you or any member of your party. Full payment for any such damage or loss must be made at the time to us or the third party concerned. If you fail to do so, you must indemnify us against any claims (including legal costs) subsequently made against us as a result of your actions.
Your responsibility. We want all our clients to have an enjoyable holiday. We expect all clients to have consideration for other people. Whilst we will make every effort to assist wherever possible, if any guests’ behaviour is considered anti-social or discourteous, you will appreciate that we have no control over the behaviour of any guests.
Complaints. If you have any complaints you should make these known to us at the earliest opportunity and we will make every effort to resolve any problems.
Passports and Health requirements. We cannot accept liability if you are refused entry into any country due to failure on your part to carry the correct documents. Before travelling you are advised to check with your own doctor for your own medical requirements.
Data Protection Policy. In order to process your booking we need to use the information you provide us on you booking form. As we must pass this information on to suppliers of your holiday arrangements, such as hotels etc. we take full responsibility for ensuring that your personal data is protected. We will only pass on information to persons directly responsible for your holiday arrangements and in booking this holiday you give us your consent to do so.
